10 Page margins, orientation, size and layout

The aim of the tutorial is to:

 

show you how to set the margins, orientation, size and layout of your page.

Setting the Margins of a page

Page margins appear on the top, bottom, left and right of each page. They can be changed using the ruler that appears across the top of the page and the ruler that appears on the left side of the screen.

To change margins using the on-screen rulers:

  1. Use the mouse to position the pointer on the ruler where the grey and white meet. The illustration below shows the position on the ruler across the top of the page when changing the left margin:

  2. When the cursor becomes a double-ended arrow, click with the mouse and drag the margin indicator to the desired location.
  3. Release the mouse to set the margin.

Follow the same procedure to change the right margin using the pointer on the right of the ruler.

Follow a similar procedure to change the top and bottom margins but instead of using the ruler across the top use the one going down the left side of the screen.

To change margins using the page setup box::

  1. Click on File on the menu bar.
  2. In the pop-down menu click on Page Setup and the following box should appear on the screen:

  3. Ensure that the first tab Margins is selected (if it isn't then click on it).
  4. Click in the white boxes for the Top, Bottom, Left, and Right if you want to type a different figure for these margins. You can set these in inches, centimetres or millimetres. The Preview window in the bottom right corner will give you an idea of what effect the changes will have.
  5. Decide whether the margins you have changed should apply to the whole document or the remainder of the document, then click on the black triangle next to Apply to and click on a choice from the menu.
  6. Click OK when you have finished setting the margins.

Setting the Orientation of a page

The orientation of a page can either be portrait (with the shortest edges at the top and botton and the longest on the left and right) or landscape (with the shortest edges on the left and right and the longest at the top and bottom).

To change the orientation of page:

  1. Click on File on the menu bar.
  2. In the pop-down menu click on Page Setup and the Page Setup box (shown above) will appear on the screen.
  3. Click on the image for either Portrait orientation or Landscape orientation. The blue border will indicate the orientation that has been chosen.
  4. Decide whether the orientation you have changed should apply to the whole document or the remainder of the document, then click on the black triangle next to Apply to and click on a choice from the menu.
  5. Click OK when you have finished setting the orientation.

Setting the Size of a page

If you want to print your document you will need to ensure that Word knows what size paper you are using. The page details can be found in the Page Setup box.

To check or change the page size using the page setup box::

  1. Click on File on the menu bar.
  2. In the pop-down menu click on Page Setup and the Page Setup box should appear on the screen.
  3. Ensure that the second tab Paper is selected (if it isn't then click on it) and should see the Page Setup box shows the following:
  4. The above illustration shows that the paper tab has been clicked, and the paper size is A4 210 x 297mm which is a standard A4 size of paper commonly used in the UK. The width is shown as 21cm and the height is shown as 29.7cm.
    If you prefer a custom size of paper you can change the figures in the white boxes next to Width and Height.
  5. Click on the black triangle next to Apply to: to chose whether the page size you have chosen apply to the whole document or to the remainder of the document depending on which page you begin the changes on.
  6. Click OK when you have finished.

Setting the Layout of a page

The layout of a page can differ throughout a multiple page document and includes where headers and footers will appear in relation to the edge of the page, whether they will be different on differernt pages, and how the contents will be aligned in the document.

To set the layout using the Page Setup box:

  1. Click on File on the menu bar.
  2. In the pop-down menu click on Page Setup and the Page Setup box should appear on the screen.
  3. Ensure that the third tab Layout is selected (if it isn't then click on it) and should see the Page Setup box shows the following:

The above illustration shows that the layout tab has been clicked, and the layout settings will start on the next new page in a document, that the headers and footers will be positioned 1.5cm from the edge of the page(s), that the contents of each page will be vertically aligned to the top of the page, and that the page layout settings will be appied to the whole of the document.
  5. Click on the black triangle opposite Section start: and chose the start section from the drop-down menu.
  6. Tick the boxes for headers and footers depending on how these should appear on the document, i.e. whether they should be different on odd and even pages, and different on the first page.
  7. Use the up/down black traingles or type in the margin sizes for the headers and footers if applicable. (Remember that the margin for the header should be smaller than the top margin of the page, and the margin for the footer should be smaller than the bottom margin of the page).
  8. Click on the black traingle opposite Vertical alignment: and chose from the menu how the contents should be aligned on a page (to the top, to the bottom, in the centre or justified (evenly spread) over a page).
  9. Click on the black triangle opposite Apply to: and chose from the menu whether the settings should apply to the whole document or to the remainder of the document depending on which page you begin the layout settings.
  10. Set the line numbers and border by clicking on the buttons at the bottom of the Page Setup box.
  11. Click OK when you have finished.
