14 Setting worksheet printing options

The aim of the tutorial is to:

explain how to use the Page Setup box to set the printing options of a worksheet prior to printing from Excel.

 

Worksheet printing options

The area of a worksheet, titles, gridlines, colour, headings, and order of pages to print can be set using the Sheet tab in the Page Setup box:

To set the print area and print titles of a worksheet:

  1. Open up the Page Setup box.
  2. Click on the Sheet tab to ensure that it is uppermost.
  3. In the white boxes alongside Print Area: and/or Print titles either type in the appropriate cell ranges or click on the red arrow to the right and then click and drag over the appropriate cells on the worksheet and then press the Enter key.
  4. Click OK.
    The Page Setup box will disappear from the screen and the print area and/or print titles will be set.

To set the print options:

  1. Open up the Page Setup box.
  2. Click on the Sheet tab to ensure that it is uppermost.
  3. Click on the white box next to Gridlines, Black and White, Draft quality and/or Row and Column headings.
  4. Ensure a tick appears in the relevant white boxes.
  5. Click on the downward pointing triangle opposite Comments and select from the pop-down menu a position for comments to appear on the printed worksheet.
  6. Click on the downward pointing triangle opposite Cell errors as and select from the pop-down menu how cell errors should appear on the printed worksheet.
  7. Click OK.
    The Page Setup box will disappear from the screen and the print options will be set.

To set the page print order:

  1. Open up the Page Setup box.
  2. Click on the Sheet tab to ensure that it is uppermost.
  3. Click on the white circle next to either Down, then over or Over, then down and ensure that a black dot appears in your choice.
  4. Click OK.
    The Page Setup box will disappear from the screen and the print order will be set.
